The useful distinction
Access control starts with an accurate list of doors, users and keys, even before you change any hardware.
Build a door-and-key inventory
A small storefront can accumulate a surprising number of keys: front entry, rear delivery door, office, stockroom and shared building access. Record which doors belong to your business and which are managed by the landlord or building operator.
Then list who has each key and what access they actually need. Avoid storing alarm credentials or access codes in a general staff document. The goal is to understand access, not to create a convenient public record of how to enter the premises.
Set a process for staff changes
Collecting a returned key does not establish whether copies were made. When a key is missing or staff access changes, consider whether rekeying is appropriate for the affected doors. Tell the locksmith about any master-key system before cylinders are changed.
For electronic systems, identify who administers credentials and arrange for obsolete access to be removed through that system. Mechanical rekeying and electronic credential management may be separate tasks, so describe both instead of assuming one automatically solves the other.
- Identify every door and its authorized users.
- Confirm permission to change shared or leased-property hardware.
- Record missing keys and recent access changes.
- Explain existing master keys, keypads or electronic access systems.
Look at the entire door
A secure cylinder is only one part of a working commercial entry. Tell the service provider if the door does not latch, if the closer behaves differently or if an exit device is damaged. Do not improvise changes that prevent people from leaving through an exit.
Arrange the work around opening hours, deliveries and the people who need new keys. At handover, check the agreed access arrangements and record who receives each key. A small amount of planning helps prevent the next employee change from becoming another emergency at the front door.
